Use Google Drive to start a flow when a file changes, and to work with files from inside a flow. This flow makes a link that people in your organisation can open for every new report in the Q3 reports folder. Press Run to watch it. The trigger and every node need a Google Drive connection. See Connect Google Workspace to set one up.

Triggers

The trigger checks Drive for changes every minute. Only changes made after you turn the trigger on start a flow: files already in Drive start one only when they are edited or removed later. Changes to folders themselves never start a flow.

Nodes

Every node picks its file or folder the same way. Source is Pick from Google Drive (the picker), By ID (a file or folder ID, for example file_id from the trigger), or By path, such as Reports/2024/Q1/file.pdf. A path starts at My Drive, so files in shared drives or in Shared with me are reachable only with the picker or by ID.

Troubleshooting

Check that the file or folder exists and that the connection’s account can open it. A file in a shared drive or in Shared with me cannot be reached by path: use the picker or its ID.
The connected account cannot change this item. Ask its owner for edit access, or use a connection that has it.
Reconnect Google Drive and run the flow again. See Connect Google Workspace.
Wait a few minutes and try again.
Nothing at that path has that name. Check the spelling and that the path starts at My Drive.
Drive allows several items with the same name. Choose the one you want with the picker or by ID.
Update Google Drive File keeps the file’s type. Pass content of the same type, or use Write Google Drive File to upload a new file. The same goes for Docs, Slides and other files.
Set Who can open to Anyone with the link.
Your organisation may not allow sharing with people outside it. The message lists who was given access and who was not.
With Watch set to A single file, pick a file. To watch a folder, set Watch to A folder and its subfolders.
The trigger started again from now. Changes made since its last check did not start a flow, so check that folder by hand.
